1. Introduction

These Terms and Conditions (“Terms”) govern your access to and use of the Ckvens platform (“Ckvens”, “we”, “us”, “our”). By creating an account or using the platform, you accept these Terms and agree to comply with them.

Ckvens is a lawyer-first case hub, built to help legal professionals organize, analyze, and visualize cases through time-based tools and AI-powered features. The service is currently provided as a pilot and early-access product.

Test users will retain access until further notice, but for not less than one month from the date of their onboarding or activation, subject to these Terms.

Unless otherwise agreed in writing, access granted under a free trial, pilot, or test arrangement is provided solely on a temporary and non-commercial basis. Such access does not create any contractual, financial, or service relationship between the user and Ckvens AS beyond the permissions and obligations explicitly described in these Terms.

2. Accounts and Access

You must be at least 18 years old to register.
By registering, you confirm that you have read and accept these Terms and the Ckvens Privacy Policy.
You may register with an email address and password, or sign in through your organization’s single sign-on (Microsoft Entra ID) where enabled.
You are responsible for maintaining the confidentiality of your credentials and for all activity under your account.
Each account is personal and may not be shared or resold.
If you are using Ckvens on behalf of an organization, you represent that you have authority to bind that organization to these Terms.

3. Service Description

Ckvens allows users to structure legal cases by events, documents, and timelines, and to interact with AI-powered modules (“Ckvens Agents”) including Chat, First Take, Analyze, Argue, and Timeline — as well as document review and multi-step analysis tools, document drafting and export (Word/PDF), relation mapping, dictation (speech-to-text), translation, and optional web search.

The platform is designed as an analytical and organizational aid. Ckvens does not provide legal advice, and AI-generated content is for informational purposes only. Users remain solely responsible for verifying, editing, and contextualizing all outputs.

4. Pricing, Free Trial, and Subscriptions

4.1 Free Trial

New users may be offered a free trial period during the pilot phase. The duration and available features are stated on our website or in onboarding materials. No payment details are required unless explicitly requested.

4.2 Subscription Plans

After the trial, continued access requires a paid subscription. Ckvens will offer:

Pro Plan – full functionality at a discounted pilot price;
Enterprise Solution – tailored features, onboarding, and integrations (available upon request).

Prices exclude VAT unless otherwise stated. Paid subscriptions renew automatically unless canceled before renewal. Payments are processed by our payment provider, Polar, acting as merchant of record; payment terms presented at checkout apply.

4.3 Pricing Principles

Ckvens follows a single-tier pricing structure where all users have access to the same feature set. Enterprise agreements may include volume discounts and custom integrations.

4.4 AI Usage Allowance

Subscriptions include a monthly allowance for AI-assisted processing. If the allowance is exhausted, AI features may pause until the next billing period or until additional capacity is added, as described on our website. Non-AI functionality (case organization, documents, timelines) remains available.

5. Cancellation, Suspension, and Discontinuation

You may cancel your subscription at any time from your account settings. Access remains active until the end of the billing period.

Users may permanently delete their account at any time through the Preferences section (Data & Privacy > Delete my account). Access is terminated immediately and associated data is deleted or anonymized within 30 days, unless retention is required by applicable law. Account deletion is irreversible.

Ckvens AS may, at its sole discretion, suspend, modify, or permanently discontinue the Service at any time, including upon completion of a pilot or beta testing phase.

For test-phase users:

The Service will remain available until further notice, but for at least one month from the start of the access period.
Access provided during a test or free-use phase does not constitute a contractual obligation or ongoing service commitment from Ckvens AS.
If the Service is to be discontinued or materially altered thereafter, users will receive reasonable advance notice (normally 14 days).
Users will be given an opportunity to export their data before closure.
No compensation, refunds, or continued access shall be owed following discontinuation.

Ckvens AS may also suspend or terminate accounts for breach of these Terms, misuse, or actions that compromise security, privacy, or compliance with applicable law or the integrity of Ckvens AS and its products and services.

6. AI Disclaimer and User Responsibility

Ckvens includes artificial intelligence features that assist in drafting, summarizing, and analyzing case-related data. All outputs are machine-generated suggestions, not verified legal advice or statements of fact.

You are solely responsible for:

Evaluating and verifying all AI content before professional or client use,
Ensuring compliance with confidentiality and ethical duties, and
Avoiding reliance on AI-generated content as conclusive or authoritative.

Ckvens AS disclaims all responsibility for losses, claims, or actions arising from reliance on AI-generated outputs.

7. Limitation of Liability and Indemnity

To the fullest extent permitted by law, Ckvens AS and its partners shall not be liable for any indirect, incidental, consequential, or punitive damages arising from use or inability to use the Service.

The total aggregate liability for any claim shall not exceed the amount of subscription fees paid by you during the six months preceding the claim.

You agree to indemnify and hold harmless Ckvens AS, its officers, employees, and contractors from any claims, damages, or expenses resulting from your use of the Service or reliance on its outputs.

8. Data Protection and Privacy

Ckvens processes data strictly as necessary to provide and maintain the Service, in accordance with the Ckvens Privacy Policy and the Ckvens Data Processing Agreement.

Case content — including all documents and all AI processing of case material — is hosted and processed within the EU/EEA using GDPR-compliant infrastructure:

Azure PostgreSQL (Sweden Central) for database storage
Azure Blob Storage (Sweden Central) for document and file storage
Azure OpenAI (Sweden Central) for AI chat and reasoning (GPT models)
Azure OpenAI (Norway East) for document embeddings
Amazon Bedrock (AWS European Union regions, primary Frankfurt) for AI chat and reasoning (Anthropic Claude models)
Azure AI Search (Sweden Central) for document retrieval
Azure Speech Services (Sweden Central) for dictation (speech-to-text)
Mistral AI (EU) for document text extraction (OCR)

Authentication is handled by Ckvens directly or, for organizations using single sign-on, by Microsoft Entra ID. A small number of ancillary services process limited data outside the EU/EEA under Standard Contractual Clauses: Resend (transactional email — invitations and password reset), Tavily (optional web search queries, only when enabled by you), Chatwoot (in-app support conversations), and Polar (billing). No case documents or AI outputs are shared with these providers. See the Privacy Policy for details.

Uploaded documents are processed for text extraction and indexing. Extracted text is stored as search-optimized chunks. Original documents are retained in encrypted storage for the duration of the account.

Users may export all their personal data at any time through the Preferences section of the platform (Data & Privacy > Export my data).

If you delete your account or the Service is discontinued, your data will be deleted or anonymized within 30 days, unless retention is required by law.

8.1 AI Data Processing

When using AI features, your case documents and queries are processed by one of two model providers, both within the EU: Azure OpenAI (Microsoft, Sweden Central) for GPT models, and Anthropic Claude models served via Amazon Bedrock (AWS, European Union regions) — where AWS is the data processor and the model provider has no access to customer content. Ckvens does not use your data to train AI models, and neither provider trains on customer data. AI-generated outputs (chat responses, entity extraction, timeline suggestions) are stored per case and accessible only to users with case access. The Writing Style feature analyzes only stylistic patterns from uploaded documents — no document content is stored or referenced in the style profile. Case Memory, when enabled, stores key facts per case and never shares them across cases.

9. Service Availability and Maintenance

We aim for continuous service availability but cannot guarantee uninterrupted access. Maintenance, upgrades, and AI model updates may cause temporary downtime. Where feasible, users will be notified in advance.

10. Amendments

We may update these Terms to reflect new functionality, regulatory changes, or technical developments.

Material changes will be communicated via email or in-app notification at least 14 days before taking effect.

Continued use after such notice constitutes acceptance of the revised Terms.

11. Governing Law and Venue

These Terms are governed by Norwegian law, without regard to conflict-of-law principles.

The English version of these Terms and Conditions will always have precedence over any translated version.

Any dispute shall be brought before the Oslo District Court (Oslo tingrett), unless otherwise required by mandatory law.
